This Recruitment Privacy Notice ("Privacy Notice") is provided by HHP Law Firm, member firm of Baker & McKenzie International ("HHP Law Firm", "us", "our" or "we"). It describes in high level terms how your personal data (as defined below) may be processed when you apply for a position with HHP Law Firm.

Who is the controller of my personal data?

The controller of your personal data is HHP Law Firm.

What personal data will be processed?

As part of the recruitment process HHP Law Firm will process such personal data about you as may be reasonably necessary for recruitment and onboarding purposes. Such personal data may include:

  • Identification information (e.g., name, address, age and other identification documents)
  • Education information (e.g., academic records)
  • Employment details (e.g., job title, career history)
  • Contact details (e.g., phone number, email address)
  • Information provided in your application form
  • Any other information collected from you as part of the recruitment process
  • Background check information (subject to applicable laws)
  • Information required for compliance with our legal obligations in the field of recruitment

What legal bases are relied on for processing personal data?

The legal bases that HHP Law Firm rely on to process your personal data are based on Indonesia's prevailing Personal Data Protection Law ("PDP Law"). The legal bases may include processing that has been agreed by you as the personal data owner when you submit your application to us, processing that is necessary for exercising HHP Law Firm's legal obligations under the applicable laws and regulations, and/or processing that is required in order to perform a contract with you.

HHP Law Firm may also ask for your consent to process personal data in specific circumstances during the recruitment process. Such circumstances may include conducting recruitment tests and background checks prior to your employment where necessary and permitted by laws, as well as retaining your personal data to inform you of any future vacancies. Where we rely on your consent as a legal basis for processing your personal data and you wish to withdraw your consent, please contact us.

Who will my personal data be shared with and where will it be transferred?

Your personal data may be disclosed by HHP Law Firm to carefully selected third parties. These may include HHP Law Firm's member law firms outside of Indonesia and external service providers that we engage in the context of our general business activities. As such, your personal data may be transferred to areas outside of Indonesia. In these circumstances, we take all necessary measures to ensure your personal data remains adequately protected in accordance with applicable laws and regulations.

Your rights regarding your personal data

You have certain rights regarding the personal data you provide to us. These include your right to request access to the personal data, right to request correction, deletion and restriction of the personal data; right to object to the use of your personal data; right to request a copy of your personal data, and right to not be subject to automated decision-making, in accordance with the PDP Law.

How long will HHP Law Firm retain personal data?

HHP Law Firm will only retain your personal data for as long as is necessary for the recruitment process, in accordance with the PDP Law.
